Privacy Policy

This Privacy Policy explains how Vakari.ai (“Vakari,” “we,” “us,” or “our”) collects, uses, and protects information in connection with our website at vakari.ai (the “Site”) and our finance operations software (the “Service”).

A note on the two kinds of data. This policy draws an important distinction. When we operate the Site — and when we manage our own accounts, billing, and marketing — we act as a controller of personal information and this policy governs. When a customer uses the Service, that customer controls the financial and business records it puts into Vakari (“Customer Data”), and we process that Customer Data only on the customer’s instructions, as a processor, under the customer’s written agreement with us. This policy does not govern how we handle Customer Data on a customer’s behalf; that is addressed in the applicable customer agreement and data processing terms. If you are an individual whose personal information appears in Customer Data, please direct your requests to the Vakari customer that controls it.

1. Information we collect

Information you provide. When you contact us, request information, sign up for updates, or correspond with us, we collect the information you choose to give us — typically your name, business email, company, role, and the contents of your message.

Information collected automatically. When you visit the Site, we and our service providers may collect standard technical information such as your IP address, browser and device type, pages viewed, referring page, and similar usage data, through cookies and comparable technologies.

Account and Service information. If your organization uses the Service, we collect information needed to provision and secure accounts — such as user names, business email addresses, authentication data, and records of activity within the Service — so that we can authenticate users, provide support, and keep the Service secure.

2. How we use information

We use the information described above to respond to your inquiries; to operate, secure, and improve the Site and the Service; to administer accounts, billing, and support; to communicate with you about the Service and, where permitted, about relevant updates; and to comply with legal obligations and enforce our agreements.

What we do not do. We do not sell your personal information, and we do not use Customer Data to serve advertising. We do not use one customer’s Customer Data to train models for the benefit of other customers.

3. Cookies

The Site uses cookies and similar technologies to keep the Site working, remember your preferences, and understand how the Site is used. You can control cookies through your browser settings; disabling some cookies may affect how parts of the Site function.

4. How we share information

We share personal information only as needed to run our business and provide the Service: with service providers (such as hosting, infrastructure, analytics, email, and support providers) who process information on our behalf under confidentiality and security obligations; with professional advisors such as our lawyers, accountants, and auditors; where required to comply with law or lawful requests, or to protect our rights and the safety of others; and in connection with a business transaction such as a financing, merger, or acquisition, subject to confidentiality. We do not sell personal information to third parties.

5. Sub-processors

We engage a limited set of trusted sub-processors to help deliver the Service (for example, cloud hosting and infrastructure). Sub-processors are bound by contract to protect information and to process it only as needed to provide their services to us. A current list of sub-processors is made available to customers under their agreement.

6. Data security

We use appropriate technical and organizational measures designed to protect information against unauthorized access, disclosure, alteration, and loss — including encryption in transit, access controls, and logging. No method of storage or transmission is completely secure, and you are responsible for safeguarding your account credentials. In the event of a security incident, we will provide notice as required by applicable law.

7. International transfers

We are based in the United States and may process and store information in the United States and other countries where we or our service providers operate. These countries may have different data-protection laws than your own. Where required, we implement appropriate safeguards for international transfers.

8. Data retention

We retain personal information for as long as needed for the purposes described in this policy — including to provide the Site and Service, maintain business records, comply with legal obligations, resolve disputes, and enforce our agreements — after which we delete or de-identify it.

9. Your rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. Residents of California and certain other jurisdictions may have additional rights, including the right to know what personal information we collect and to request deletion; we do not sell personal information or share it for cross-context behavioral advertising. To exercise any right, contact us at info@vakari.ai. We will respond as required by applicable law, and we will not discriminate against you for exercising your rights. If your information appears in Customer Data controlled by a Vakari customer, please contact that customer directly.

10. Children’s privacy

The Site and Service are intended for businesses and are not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us and we will delete it.

11. Third-party links

The Site may link to third-party websites and services that we do not control. This policy does not apply to those third parties, and we encourage you to review their privacy practices.

12. Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above, and, where changes materially affect your rights, we will provide additional notice as required by law. Your continued use of the Site after an update takes effect constitutes acceptance of the revised policy.
